What a Plumbing Failure Actually Costs a Business
Operators compare maintenance quotes against repair quotes, which is the wrong comparison. The right one includes the hours you could not trade.
The reason planned maintenance is a harder sell on a commercial site than it should be is that the numbers being compared are not comparable. A maintenance programme has a visible annual cost. A failure has an invoice, and the invoice is not the cost.
Working out the real number is not complicated, and once it is written down the decision usually makes itself.
The arithmetic nobody does
Take a restaurant that has to close for a day because the kitchen line backed up during service. The plumbing invoice covers an emergency call out, clearing the line, and possibly a survey afterwards.
Then add the rest. A day of lost revenue. Staff who were rostered and either paid or sent home unhappy. Food spoiled or wasted. Bookings cancelled, some of which do not rebook. Reviews written by people who turned up to a closed door. Management time spent handling all of it instead of running the business. And on a repeat occurrence, the possibility of a conversation with an environmental health officer that you would rather not be having.
None of that appears on the plumbing invoice, and all of it is caused by the same event. That total is the number a maintenance programme should be compared against.

Which sites genuinely need a programme
It is worth being honest that not every commercial site does. An office suite with two restrooms and no process water is reasonably served by reactive work, and selling a programme into that situation is selling reassurance rather than value.
The clear cases are the ones where a failure stops trading. Kitchens lead that list, since what goes wrong in them is foreseeable, gets worse at certain times of year, and hurts through closed doors rather than through the invoice. Medical and dental sites qualify because of the compliance dimension. Anywhere with process water or floor drains qualifies because the failure stops production.
The test is simple. If a plumbing failure means you cannot operate, the arithmetic favours a programme. If it means an inconvenient afternoon, it probably does not.
What a food service programme contains
For the site type where this matters most, the components are well established and none of them are exotic.
Trap servicing on an interval established by measuring how fast your kitchen actually fills it, with manifests kept. Line jetting on a separate interval driven by grease loading, because the trap and the lines accumulate differently. Water heater servicing, which matters more on a commercial site because the unit cycles far more than a domestic one. Backflow testing at whatever interval your water provider requires. And fixture checks across the restrooms, which see use no household fixture ever approaches.

The hard water multiplier on a commercial site
Everything hardness does to a house, it does faster to a commercial site, because the equipment cycles more.
Volume is the multiplier. A commercial heater processes many times what a domestic one does, so at 6 to 17 grains per gallon it accumulates deposit several times faster. Ice machines and glasswashers, which tolerate mineral least of any equipment on site, need attention on a shorter cycle. A restroom valve operated hundreds of times a day wears out on a timescale no household valve ever approaches. And the interior of a kitchen waste line roughened by scale collects grease at a rate a smooth line would not.
Treating the incoming supply pays back faster on a commercial site than in a house for exactly that reason: there is more equipment downstream of it and it works harder. That is a treatment decision that belongs in the programme rather than being considered separately.
Getting the lease question settled early
More commercial plumbing disputes are about responsibility than about technical matters, and they are almost always resolvable in advance and almost never resolvable during a failure.
As a rule of thumb, and leases vary enormously, the building's own systems sit with the owner while everything installed to serve a particular fit out sits with the occupier. The arguments happen in the overlap: a waste line serving two units, a heater in a shared plant room feeding only one tenancy, an interceptor put in for a restaurant that left years ago, assemblies protecting the whole building.
The time to work all that out is a quiet afternoon with the lease open. Anything genuinely unclear should be written down and agreed while nobody is under pressure, and any shared drainage should have an agreed split before it is ever needed. Nobody has ever improved a dispute by starting it over a flooded floor at seven in the evening.
What to do in the first ten minutes of a site failure
Almost all commercial work here happens outside opening hours, and treating that as the default rather than as a premium request makes the scheduling conversation far shorter.
Be specific about access when you call. Who lets the crew in, whether there is an alarm and who holds the code, which areas are off limits, whether there is a loading route for equipment, and whether anything in the space needs protecting. Get those settled on the phone and the crew starts working the moment they arrive, rather than standing outside a locked door at eleven at night waiting for somebody to answer.
It is also worth agreeing in advance what happens if the work overruns into opening hours, because on a food service site that decision is far better made calmly at quoting stage than at six in the morning.
Backflow prevention, which catches new operators out
Wherever a site's own water system could conceivably push back into the public main, a backflow assembly is fitted to stop it. Irrigation, fire suppression, boilers, process equipment and a good deal of kitchen equipment all create that possibility.
The duty to keep those assemblies tested sits with the property, not with the utility supplying it. A certified tester has to check them on whatever cycle your provider sets, and the result has to be filed with the provider. New operators are caught out by this more than by anything else on a site, and the way they usually find out is a letter.
Taking over premises is the moment to ring the provider and ask what is registered against your address. Whatever the previous occupier had arranged does not automatically follow you, and sorting it out after a notice arrives is far more tedious than sorting it out beforehand.
