How Often Should a Grease Trap Actually Be Serviced?
There is no correct universal interval. There is a correct interval for your kitchen, and finding it costs one round of measurement rather than one closure.
Grease trap servicing is the most deferrable item on a food service maintenance list and the one with the worst consequences when deferred. The failure does not arrive gently: it arrives as a backup, usually during service, and the cost is measured in lost trading rather than in plumbing.
The question operators actually ask is how often it needs doing. The answer depends on the kitchen, and here is how to work out yours.
What a trap does, and how it stops doing it
A grease interceptor slows waste water enough for fats, oils and grease to separate and float while solids settle, so that relatively clear water continues to the sewer. It works by retention time, which means it depends on having free volume for the water to sit in.
As the floating layer thickens and the settled layer builds, that free volume shrinks. Retention time falls, separation becomes less effective, and grease begins carrying over into the line. At that point the trap is still there and is no longer working, which is why a trap that has never been serviced is functionally the same as no trap at all.
The one quarter guideline, and how to use it
The common rule of thumb is that a trap should be serviced when the combined grease and solids reach roughly a quarter of the total capacity. It is a reasonable working guide rather than a regulation, and local requirements can be stricter, so it is worth confirming what applies to your site.
The useful way to apply it is by measurement rather than by guessing. Measure the layers after installation or after a full clean, then measure again at intervals until you know how quickly your kitchen fills the trap. That is your interval. It will not match the restaurant next door, because the menu, the volume, the fryer usage and the dishwashing pattern are all different.
Once you know it, set the schedule slightly inside it. A trap serviced just before it needs it is routine maintenance. A trap serviced just after is an emergency.

Why the records matter as much as the service
This is the part operators most often treat as paperwork and later wish they had taken seriously.
Keep a manifest for every service: date, volume removed, the company that performed it and where the waste went. That record is what turns a compliance conversation into a short one, and it is what demonstrates a programme rather than a reaction if there is ever a dispute about a discharge.
It also has an operational use. A run of manifests is a data set showing how fast your trap actually fills, which is how you refine the interval over time rather than leaving it at whatever it was set to on day one.
Why the trap alone is not enough here
A trap intercepts what reaches it. It does nothing about what has already accumulated in the line between the fixtures and the trap, or downstream of it.
In this town that matters more than it does elsewhere, because groundwater at 6 to 17 grains per gallon deposits mineral scale on the interior of drain lines, and that rough surface gives grease something to hold onto. Kitchen lines here load up faster than the same kitchen would somewhere with soft water.
So a proper programme covers both: trap servicing on the measured interval, and line jetting on an interval that matches actual loading. Doing one without the other is why some sites service their trap religiously and still have a backup.

Measure it once. Then it is a schedule instead of a surprise.
Setting a programme up properly
- Establish a baseline with a camera survey of the kitchen line and the lateral, so you know what you are managing.
- Measure trap layers over a few weeks to find your actual fill rate.
- Set the service interval slightly inside that rate, not at it.
- Set a separate jetting interval for the lines, driven by loading rather than by the trap schedule.
- Keep manifests for every service, filed rather than loose.
- Handle waste cooking oil through separate collection so it never enters the trap.
- Train kitchen staff on what goes into the sinks, since a programme is undone quickly by habits at the pot wash.
None of that is expensive relative to a closure. The whole argument for planned commercial maintenance is that the plumbing cost is small and predictable while the failure cost is neither, and a grease trap is the clearest example of that on any food service site.
What to do before booking a service visit
Not all trap servicing is the same job, and the difference shows up months later rather than on the day.
A full service means pumping out the entire contents, scraping the walls and baffles, inspecting the internals for damage, and refilling the unit properly. A partial service, sometimes called skimming, removes the floating grease layer and leaves the settled solids in place. Skimming is faster and cheaper and it leaves you with a trap whose effective capacity keeps shrinking, which is why a site can be serviced regularly and still deteriorate.
Ask explicitly which you are being quoted for, ask whether the baffles are inspected, and ask for the manifest each time. Those three questions separate a service programme from a collection round.
The kitchen habits that change the numbers
Equipment and scheduling only go so far. What happens at the pot wash determines a meaningful share of the loading.
Scraping plates and pans into the bin rather than the sink is the single largest lever, and it is a training matter rather than an equipment one. Waste cooking oil belongs in separate collection and never in a sink, since a trap sized for incidental grease is not sized for a fryer being emptied into it. Very hot water and heavy detergent both help grease pass through a trap rather than separate in it, which is the opposite of what the trap is for.
Sites that get those three right often find their measured interval extends noticeably, which is the cheapest improvement available on the whole programme and costs nothing but training. It also reduces what reaches the lines beyond the trap, which is what determines your jetting interval rather than your pumping one.
